Frequently Asked Questions -- Coming to Camp

1 - What should I bring to Camp?

  • bible
  • sleeping bag/pillow
  • extra blanket
  • toothpaste and toothbrush
  • hair brush/comb
  • towel/facecloth/soap/etc.
  • insect repellent
  • hat/sunglasses/sunscreen
  • pyjamas/slippers/housecoat
  • swimwear (street clothes aren’t allowed in the pool)
  • casual clothes for warm and cool weather
  • coat or jacket
  • rain gear/boots
  • extra shoes
  • flashlight

In addition, we hope that all campers will bring an attitude of respect and a spirit of inclusion! Disruptive behaviour and language is not tolerated. Please do not bring any personal listening devices, (cell phones, iPods, computer games, walkmans, cd players, MP3s) money, junk food or cigarettes. (These items may be put away for safekeeping for the duration of camp.)

2 - How can I register for Camp?

Online at this website on the registration page and send in the non-refundable deposit ($50 deposit). Mail the fee to the Camp Registrar (contact information below). Your registration is not confirmed until the $50 non-refundable deposit has been received.

Note: Payment in full with your registration is preferable. If this is not possible, the balance of camp registration fee is due on registration day of camp.

Please make cheque payable to "Van-Es Camp & Conference Centre" and indicate the name and age of your camper on your cheque.

3 - What is the deadline for registration?

We recommend you register as soon as you know when you are able to attend. Registrations will be accepted on a 'First-come, First-served' basis.

4 - Do you accept post-dated cheques?

Post-dated cheques are accepted; however, they need to be dated no later than June 30 and one cheque covering the $50 non-refundable deposit needs to be attached and dated within two weeks of your registration. Please make cheque payable to "Van-Es Camp & Conference Centre" and indicate the name and age of your camper on your cheque.

5 - What is your cancellation policy?

Cancellations will forfeit the $50 non-refundable deposit processed at the time of registration.

6 - When do I receive my t-shirt?

T-shirts are handed out during the registration process, first day at Camp Van-Es. The cost of t-shirts is included in your registration fee. Please remember to order your preferred size of t-shirt on your registration form.

8 - Is financial aid available?

Yes. Camp Van-Es desires to see all children participate in summer camp and take part in a wonderful experience of growth and community. We don’t want to see a child miss out on this opportunity because of finances. In order to help campers with financial needs, we have a Summer Camp fund. Please contact the Camp Registrar.

The Van-Es Summer Camp Fund is for you if your child / family would not be able to attend summer camp without partial financial aid. We also want to be good stewards of the funds God has entrusted us with, and so we have put the following guidelines in place:

  • The Summer Camp Fund is intended only to cover a part of the camp fee for a child.
  • All registrants are required to place a $50 up front non-refundable deposit.
  • If a substantial percentage of the camp fee is requested, we may ask for a letter to help us understand your situation

9 - How do I apply for financial aid?

To apply for our Summer Camp Fund, simply register for the camp week of your choice. Then, contact or write the Camp Registrar requesting assistance.

10 - Will my roommate requests be granted?

We understand how important roommate requests can be. Therefore we try to meet as many roommate requests as we can; however, they cannot be 100% guaranteed. We are also limited to certain numbers of campers per cabin, which sometime limits what requests can be granted. Lastly, cabin dynamics and relationships are a factor for consideration. We are able to meet most roommate requests, but not all. Priority will be given to earlier registrants in cases of conflict. If we are unable to accommodate your request, we will notify you as soon as possible.

11 - How do I get to Camp Van-Es?

12 - Does Camp Van-Es provide bus transportation to and from the camp?

No, there is no group transportation such as a camp bus provided by Camp Van-Es on drop-off or pick-up days. Each parent is responsible for their child's transportation to and from Camp Van-Es. Camp Van-Es does occasionally provide transportation for mid-week outtrips.

13 - What time do I drop off my child for his/her camp week?

Registration / drop-off for all weeklong camps is the first day of camp between 4:00 - 5:00 p.m. Please do not expect to drop-off your child any earlier than 4:00 p.m. Parents / guardians must stay through the registration process to ensure we have all medical information and parental permissions required for each camper.

14 - What time do I pick up my child at the end of his/her camp week?

Pick-up time is 11:00 – 11:30 am on the last day of camp.

15 - What should I do if my camper has to arrive late or leave early?

Please phone the Camp Registrar who will direct you to the appropriate staff person to work out an appropriate time for your child to be dropped off or picked up. If your child is leaving early, please also inform your child's director upon arrival at camp.

16 - Can I arrange to have someone else drop-off my child?

Yes, a responsible adult other than the camper's parents can drop-off the camper; however, Camp Van-Es must receive the following forms and information before or on registration day:

  • An up-to-date statement of health for the camper needs to be received on the first day of camp, indicating any illnesses, allergies, injuries, or other conditions acquired since the time of registration
  • The name of the person picking up your child and their relation to the camper; this information allows us to ensure that your child stays in safe hands at all times.

17 - Can I arrange to have someone else pick-up my child?

Yes, a responsible adult other than the camper's parents can pick-up the camper; however, at drop-off, we need to be informed of the name of the person who will be picking up the camper and their relation to the camper. This information allows us to ensure that your child stays in safe hands at all times.

18 - Can I drop off my child before registration begins?

No. Our doors will be closed until 4:00 p.m. so please do not expect to drop off your child any earlier than 4:00 p.m. Parents / guardians must stay through the registration process to ensure we have all medical information and parental permissions required for each camper.

19 - How Can I become a Camp Counselor?

Please discuss this possibility with your pastor or the Camp Registrar.
